What we collect
- Enquiry details — when you use our contact form or email us, we collect your name, email address, business name (if given) and the contents of your message.
- Booking details — if you book a call, the scheduling is handled by Google Calendar Appointments and you provide the details it asks for.
- Website analytics — only if you accept analytics, we collect usage data via PostHog (pages viewed, interactions, device/browser, and anonymised session recordings with all form inputs masked). See our Cookie Policy.
How we use it & our lawful basis
- To respond to your enquiry and discuss how we might help — to take steps at your request before entering a contract, and our legitimate interest in answering enquiries.
- To provide services you engage us for — to perform our contract with you.
- To keep business and financial records — our legal obligations and legitimate interests.
- To measure and improve the website — your consent (analytics, which you can accept or reject).
Who we share it with
We do not sell your data. We share it only with providers that help us run the business:
- Web3Forms — processes contact-form submissions and delivers them to our inbox.
- Google — our email and our calendar-booking tool.
- PostHog — website analytics (used only if you accept analytics).
- Where we are engaged to deliver services, any data we process on your behalf is governed by the agreement we put in place with you, under which we act as your processor.
How long we keep it
We keep enquiry and client records for as long as needed to provide our services and meet legal and tax obligations (generally up to 6 years for financial records), then delete them.
Your rights
Under UK data protection law you can ask to access, correct, delete or restrict the use of your personal data, object to certain processing, or request portability. Email hello@loomwork-ai.co.uk to exercise any of these.
If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
