How to
Missed-Call Text-Back: Is It Worth It for a Tradesperson?
Published 29 September 2026 · Sources checked 29 September 2026
You are up a ladder or under a sink, the phone rings, and you can’t answer it. Missed-call text-back is a tool aimed at exactly that moment. This guide explains how it works and what evidence there is that it saves work. We looked for independent proof and found very little, so most of what follows is vendor claims, and we say so where it applies.
What missed-call text-back is
When a call to your business number goes unanswered, the system sends the caller a text message straight away. Podium, one of the vendors, describes it as an automated text sent to the caller so they can arrange an appointment by SMS, or text you the reason for their call and how to reach you [1].
The idea is that a voicemail is easy to ignore, whereas a text opens a live conversation. One explainer puts it as turning a missed call into an open thread that still needs a person to follow up [3].
How it works behind the scenes
There are two common set-ups, according to one vendor-side explainer [3]:
- Platform-based: the business phone system sees the call go unanswered or get abandoned, and sends the text from the same number the customer dialled [3].
- Carrier-based: your mobile forwards unanswered calls to a tracking service, which spots the miss and sends the text [3].
The same explainer lists what you need in place: registration for business texting, a place where replies land so someone actually sees them, and approved wording for the message [3]. It is not written specifically for UK businesses, so ask any provider what UK set-up they need before you sign up.
What it can’t do
Text-back is not a receptionist. The explainer is direct about this: it doesn’t answer the caller’s question, doesn’t book the job, and can’t tell an emergency from a routine enquiry [3]. If a customer replies and nobody answers, you have only moved the silence from the phone to the text thread.
For a tradesperson, that means the tool only pays off if you reliably look at replies. A burst pipe needs a different message from a quote request, and a generic auto-text treats them the same [3].
What the evidence says
The vendor claims
Podium’s own article quotes a figure that 85% of people whose calls go unanswered won’t try you again, which it attributes to a third party called Unicom Corp [1]. The same article says a prospect gives you at most 24 hours to return their call before they choose a competitor, attributed to Voicemail Office [1]. We could not check either underlying source.
Podium also publishes a customer story from an HVAC contractor, Zip Mechanical, headlined as saving 75% of missed-call leads [2]. That page gives no time period and no count of leads, so we can’t tell how big the sample was [2]. It is a marketing case study from the seller, about one firm.
Speed of reply is rarely good
A March 2026 study by Workato looked at 114 B2B companies and found that more than 99% did not respond to a demo request within 5 minutes [5]. Email replies averaged 11 hours 54 minutes and phone replies averaged 14 hours 29 minutes [5]. That is software companies, not trades, and Workato’s study measured response times, not how many enquiries turned into work [5]. It does show that quick replies are uncommon, which is the gap text-back is designed to fill.
What we could not verify
We did not find independent research on missed-call text-back for UK trades. Several headline numbers circulate online, such as the share of small-business calls that go unanswered and the share of callers a text recovers, but we couldn’t trace them to a source we could read, so they are in the “Not yet verified” box and not in the text. Treat any provider quoting a precise recovery rate with caution unless they show you the data.
Is it worth it for you?
Our view, based on how the tool works and the thin evidence above: it is probably worth trying if you regularly miss calls while working and your enquiries come by phone. It is probably not worth paying for if you already return every missed call within minutes, or if most of your work comes from repeat customers who text you anyway.
A cheap way to test the need before you pay anyone:
- Count your missed calls for a fortnight, and note how many callers left a voicemail.
- Check how many of those callers you managed to reach, and how many became jobs.
- Compare the value of those jobs with the monthly cost of a service. We could not verify UK pricing, so get quotes.
If you’d rather not pay at all, most mobile phones can send a canned reply to a rejected call. That is a manual version and doesn’t fire on every missed call, but it costs nothing to try.
Keep the message service-only
The ICO says routine customer service messages, such as information a customer needs about a current contract or past purchase, don’t count as direct marketing [4]. It also says that if a message includes significant promotional material, the marketing rules apply and you need consent [4]. So keep the text-back to answering the call: who you are, that you’ll ring back, and how to book. Leave the discount offer out. We haven’t seen the ICO rule on automatic replies to inbound callers specifically, so if you plan anything beyond a plain reply, check with the ICO’s guidance or a specialist.
A sensible message
Something short and human works best: your business name, that you’re on a job, when you’ll call back, and what details would help (the address and what the problem is). Give an emergency number if you take out-of-hours call-outs, and only promise a callback time you can keep.
