QuickBooks vs Dext for Builders' Bookkeeping: Which Saves Time?
Published 24 September 2026 · Sources checked 24 September 2026
A builder with a footwell full of merchant receipts is really asking two questions at once: where does the paperwork get captured, and where does it end up as proper accounts with CIS handled? QuickBooks and Dext answer those differently, and they are not direct rivals. This guide compares them using each vendor’s own pages, plus third-party listings where QuickBooks’ own site would not show a price.
They are not the same kind of product
QuickBooks Online is the accounting software - the place your invoices, bank feed, VAT and CIS live. Dext is a capture layer that sits in front of accounting software, and its UK site says it connects with 36+ accounting platforms, naming QuickBooks Online among them [1]. Dext’s QuickBooks page lays out the flow: upload a document, let Dext extract the data, review and edit it, then click publish to send it across to QuickBooks [2].
So the real question is not “QuickBooks or Dext” but “is QuickBooks’ own receipt capture enough, or is Dext worth paying for on top of it?”
Receipt capture
QuickBooks. In the QuickBooks Accounting app you open the menu, choose Receipt snap, photograph the receipt or bill, and confirm [3]. Mobile access comes with the subscription at no additional cost [3]. QuickBooks’ help page for its Sole Trader product adds that the app automatically extracts the information from the photo, including the tax rate for each line item, and accepts PDF, JPEG and PNG files [4]. That page covers the Sole Trader product specifically, so we have flagged below that we could not confirm the same extraction on the higher plans.
Dext. Dext says receipts, invoices and expenses are captured by mobile app scanning, email or direct upload, then categorised with 99.9% accuracy and synced to your accounting software [1]. That accuracy figure is Dext’s own claim, and we found no independent test of it on crumpled site receipts. Because Dext syncs your QuickBooks chart of accounts, suppliers, customers, tracking categories, payment methods and tax rates, a receipt can be coded before you publish it [2].
Volume matters on the Dext side. Its business plan covers 250 documents a month, and past that you can still upload documents but they are not extracted until your next bill date or an upgrade [5]. Line-item extraction, which breaks a receipt into its individual products, includes five free documents, then costs from £16.50 a month or £0.40 per document [5].
CIS reporting
This is where QuickBooks does the heavy lifting. QuickBooks says you can manage unlimited contractors or subcontractors, auto-calculate CIS deductions, run custom reports and e-file to HMRC at no extra cost [6]. Its help guide says you add subcontractors as suppliers and verify them with HMRC to get their deduction rate of 0%, 20% or 30%, after which QuickBooks calculates the deduction in the Less CIS field on bills and expenses [7]. Reports include the CIS Contractor Monthly Statement (CIS 300), a payment and deduction statement for subcontractors, and a CIS Suffered Summary [7].
That matters because HMRC expects contractors to send monthly returns by the 19th of every month following the last tax month, and a return one day late carries a £100 penalty [8].
Dext is on the capture side only. Its help centre covers CIS for Xero, Sage 50 and QuickBooks Online: it applies CIS category codes, splits an invoice into labour and materials lines, and records labour at the gross amount, leaving the deduction to the accounting software [9]. There are two catches for QuickBooks Online users. You must adjust the Less CIS field manually after publishing, and the supplier name in Dext has to match the CIS contact name in QuickBooks exactly [9].
What it costs
| Product | Plan | Price (ex VAT) | Users |
|---|---|---|---|
| QuickBooks | Simple Start | £16 a month [12][13] | 1 [10] |
| QuickBooks | Essentials | £38 a month [12][13] | 3 [10] |
| Dext | Business plan | £24.17 a month, or £290 a year [5] | 5, up to 250 documents a month [5] |
The QuickBooks figures come from third-party price listings, not QuickBooks itself: its own pricing page loads live prices in the browser and shows no figures in the page content we could read [10]. Two separate listings agree on £16 and £38 [12][13]. QuickBooks also advertises a limited-time new-customer discount and a 30-day free trial [10], but the discount terms are not visible on the page and the listings disagree on them, so check the live price before you compare.
QuickBooks’ Sole Trader pricing page lists CIS management under Simple Start, Essentials, Plus and Advanced, and says VAT submission directly to HMRC is not available on the Sole Trader plan [11]. Each plan includes accountant access, and Simple Start has one user while Essentials has three [10]. If an office manager or bookkeeper needs their own login alongside yours, that points towards Essentials.
Dext lists its prices excluding VAT and says annual billing is up to 19% cheaper [5]. It also offers a 14-day free trial without a credit card [1]. Stacked at list price, Simple Start plus Dext’s annual rate comes to about £40 a month before VAT, so Dext would cost more than the accounting software it feeds [5][12][13].
Which one if…
- You mostly pay by card and your bank feed already shows the spend: QuickBooks alone is likely enough, since receipt snap comes with the subscription [3] and CIS is part of the package [6].
- You are a contractor paying subbies under CIS: the deduction, monthly return and statements are QuickBooks features [6][7], and Dext’s own help page leaves the deduction to QuickBooks [9].
- You handle stacks of supplier invoices and paper receipts every week, with a bookkeeper to review them: Dext’s capture and 250-document allowance may earn its £24.17 a month [5]. Line-item extraction beyond the free five documents costs extra [5].
- You have not picked accounting software yet: settle that first, and use QuickBooks’ free trial to see whether its own receipt snap is enough before adding Dext [10].
What to do next
The number that settles this is how many receipts and supplier invoices your firm actually handles each month, and only you can count that. Run QuickBooks’ receipt snap through a real month of site spend, note what still ends up in the glovebox, and only then price Dext against the gap. If you would rather have that workflow checked for you, Loomwork Ai’s audit looks at how your receipts and invoicing currently flow and where the admin time is going.
